Privacy Notice

This Privacy Notice explains how Division 7 Estimating ("Division 7 Estimating," "we," "us") collects, uses, shares, and protects information when you visit d7estimator.com (the "Site"), use the Division 7 Estimating application (the "Platform"), or engage our estimating services (the "Services").

1. Information we collect

Information you provide

• Contact information — name, company, email address, and phone number when you request a demo, contact sales, or request estimating services. Contact and demo requests on this Site are sent by email from your own mail application; the Site itself does not store form submissions.
• Account information — name, email, role, and login credentials when a workspace is created for your company on the Platform.
• Customer content — project data you or your company enter into the Platform or send us for estimating services: plans, takeoffs, estimates, rates, proposals, submittals, RFIs, daily logs, photos, and documents ("Customer Content").

Information collected automatically

• Usage and device data — pages visited, approximate location (city-level, derived from IP), browser and device type, and referring pages. On the Site, this is collected through analytics cookies only if you accept them (see Section 3).
• Log data — the Platform keeps standard technical logs (timestamps, IP addresses, actions) for security and troubleshooting.

2. How we use information

• To provide, operate, secure, and improve the Site, Platform, and Services;
• To respond to demo requests, quotes, and support inquiries;
• To configure your company's workspace (rates, worksheets, branding) during onboarding;
• To send administrative communications about your account or engagement;
• To understand how the Site is used (with your consent to analytics cookies);
• To comply with legal obligations and enforce our Terms & Conditions.

We do not sell your personal information, and we do not use Customer Content for advertising.

3. Cookies, consent & analytics

When you first visit the Site, a consent banner asks whether we may use analytics cookies. You can accept or decline; the Site works fully either way.

• Strictly necessary cookies and storage. We store your cookie choice itself (in your browser's local storage) so we don't ask on every visit. Our hosting may also use routing and security cookies, and the Platform uses authentication and preference cookies when you sign in. These are required to deliver the Site or a feature you request, are not used for advertising, and are not controlled by the analytics choice.
• Analytics cookies (optional). If — and only if — you accept, we load Google Analytics to understand aggregate site usage (pages viewed, session length, approximate region, with IP anonymization enabled). Google may set cookies such as _ga and _ga_*. See Google's privacy documentation for how Google processes this data.
• Changing your mind. Use the "Cookie Preferences" link in the footer at any time to re-open the banner and change your choice. You can also clear cookies in your browser.

The Site does not respond to browser "Do Not Track" signals, but declining analytics has the same effect: no analytics cookies are set.

4. AI features and your data

The Platform includes artificial intelligence features (the "AI Features"), such as project-specific assistance and drafting tools, and will offer an MCP (Model Context Protocol) connection that lets AI agents you control interact with your workspace.

• What the AI sees. AI Features process the Customer Content of the project you use them on (for example, your estimate quantities or RFI log) in order to answer your questions and produce drafts.
• Third-party AI providers. AI Features may be powered by third-party large-language-model providers (such as Anthropic and OpenAI) acting as processors on our behalf. We send them only what is needed to fulfill your request, under agreements that prohibit them from using your Customer Content to train their publicly available models.
• No training on your data. We do not use your Customer Content to train public AI models, and we do not permit our AI providers to do so.
• MCP connections you control. When the MCP connection launches, connecting an external AI agent to your workspace will be an explicit, permissioned choice made by your workspace administrator. Data accessed by an agent you connect is governed by your agreement with that agent's provider.
• Human review required. AI outputs are drafts and estimates for professional review — see the AI provisions of our Terms & Conditions.

5. When we share information

We share information only with:

• Service providers that host, secure, and operate our infrastructure (e.g., cloud hosting, email delivery, authentication) and the AI providers described in Section 4 — each bound to use the data only to provide the service;
• Your workspace — content you put in a company workspace is visible to teammates according to the roles your administrator sets;
• Legal authorities, if required by law, subpoena, or to protect rights, safety, or the integrity of the Services;
• A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Notice.

6. Data security

We use industry-standard measures to protect information: encryption in transit, role-based access controls, and least-privilege access for our team. No method of transmission or storage is 100% secure; if we learn of a breach affecting your personal information, we will notify you as required by applicable law.

7. Data retention

We retain personal information as long as needed for the purposes above: for the life of your account or engagement, plus the period needed for legal, accounting, and dispute-resolution purposes. Customer Content in a Platform workspace is retained while the subscription is active; upon termination, your administrator may request export, after which content is deleted from active systems on a scheduled basis.

8. Your privacy rights

Depending on where you live (for example, California or other U.S. states with privacy laws, or the EEA/UK), you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. We honor verified requests regardless of jurisdiction where practical.

To exercise any right, email sales@d7estimator.com with the subject "Privacy request." We will verify your identity and respond within the time required by applicable law. We will not discriminate against you for exercising a privacy right.

9. Children's privacy

The Site and Platform are business tools intended for users 18 and older. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will delete it.

10. Changes to this notice

We may update this Notice as the product and law evolve. We will post the updated version here with a new effective date, and for material changes we will provide reasonable additional notice (such as a banner or email).
